Understanding Your Month-End Reports

For providers on the percentage-of-collections model

Help Therapy is committed to timely billing and efficient claims processing. Each month, you will receive an invoice for Help Therapy’s billing fees based on payments recorded during that period, along with detailed reports of those payments.

SimplePractice Reports

With most of our billing now managed through SimplePractice, these are the primary reports you will use:

Income Allocation Report

Lists insurance and patient payments recorded during the month. Use this report to confirm paid sessions and reconcile payments against your monthly invoice.

Unlocked Appointments Report (SimplePractice EHR Users Only)

Identifies appointments with progress notes that have not yet been locked. Review this report regularly and lock the notes for any completed sessions so our team can submit the claims.

⚠️ Important: Progress notes must be locked before appointments can be billed.

Action Required: Switch from Paper Checks to EFT

We are nearing full electronic integration. If you are still receiving paper checks, please contact our Provider Relations team at provider@helptherapy.com for help enrolling in Electronic Funds Transfer (EFT).

Paper checks can create significant reconciliation delays. In some cases, our team records a payment based on the payer’s remittance information before the physical check reaches you. Switching to EFT helps reduce these delays and makes it easier to reconcile your reports with your bank deposits.

Payment Timelines & EOBs

⏱️ Insurance processing typically takes 2–6 weeks, so your current month-end report may include payments for services provided in previous months.

As an independent practitioner, you may receive paper Explanations of Benefits (EOBs) directly from insurance carriers. Our team proactively tracks payments and contacts payers for payment information without requiring your assistance. However, forwarding EOBs can help us locate payments that are difficult to verify and reconcile them sooner.

Forwarding EOBs is optional, but it can help ensure payments are included in the appropriate monthly invoice rather than appearing months later.

With some carriers, paper EOBs may stop once Electronic Remittance Advice (ERA) is fully set up.

If you would like to share your EOBs with our team, you have two options:

Option 1 — Manual

Forward any EOBs you receive to billing@helptherapy.com.

Option 2 — Automated Recommended

Where available, arrange for EOBs to be sent directly to our billing team. Contact billing@helptherapy.com, and we can help you explore this option.
